See Fig A. above. This is the new appointment/meeting creation screen. The following sections are displayed on this page:
Title: This is the title given for the appointment/meeting. Click in the text field and enter a name for the appointment/meeting.
Description: This is the description for the appointment/meeting. Click in the text field and enter a description for the appointment/meeting.
Description for Client: This is the description for the client for the appointment/meeting. Click in the text field and enter a description for the appointment/meeting.
Add Attendees: This is the add attendee section for the new appointment/meeting. Select a staff member from the drop-down box and then click the +Copy icon. Repeat for each additional staff member to be added as an attendee. Staff can be added to Gigbuilder via the Resources > Employees menu. To quickly add a client, employee(s), or venue contact that pertains to an event, click in the event date field and select the date of the event and then click the +Copy icon. Alternatively, MM/DD/YYYY can be entered into the date field. In the popup window, select the event and then click the client, employees, venue contact, or any combination and click the "Add Event" button. To add a client, click in the person field and begin entering a few letters of the client's last name. A drop-down box will auto-populate with clients that match the letters entered.
Attendee List: This is the attendee list for the appointment/meeting. To delete an attendee, click the gray box with the blue X next to the attendee's name.
Details: This is the details of the appointment/meeting. If the appointment/meeting is related to an event, the name of the event will appear in the related event field. Select a location for the appointment/meeting from the drop-down box. Locations can be added via the Resources > Meeting Locations menu. Click in the alternate name field if you like to provide an alternate name for the appointment/meeting location. Click in the date field and select the date of the appointment/meeting. Alternatively, MM/DD/YYYY can be entered in the date field. Select a start time and end time for the appointment/meeting from the drop-down boxes. The duration will auto-populate from the selected start time and end time values. Alternatively, you can select a start time and a duration time for the appointment/meeting and the end time value field will auto-populate. Select a color code from the drop-down box. This color is represented in the Event Planning > Calendar > My Calendar view.
Reminders: This is the reminders that will be sent for the appointment/meeting. Select when to send the reminder from the drop-down box. Check admin, staff, client, or any combination next to the email field if you would like the a reminder for the appointment/meeting sent via email. Check admin, staff, client, or any combination next to the text/SMS field if you would like the reminder for the appointment/meeting to be sent via text/SMS. Select whether or not to receive a reminder in the daily summary email from the drop-down box. Select what Gigbuilder should do with the appointment/meeting after the date has passed from the drop-down box.
